# BirOtel PMS

> BirOtel PMS is a web-based hotel property management system built for hotels in Azerbaijan. Reservations, room inventory, guest records, rate calendar, cashier, invoices, housekeeping and reports in one panel.

BirOtel PMS (birotel.org) is a web-based hotel property management system (PMS) developed for hotels, hostels, guest houses and hourly-stay properties in Azerbaijan. It runs in any browser on desktop, tablet and phone. The application interface is available in Azerbaijani and English; amounts are in AZN. Current scope: internal hotel operations (no channel manager in the current version).

## Modules
- **Dashboard** — An operations dashboard for management and front desk: key daily metrics, expected movements and room status on one screen. Occupancy and revenue: Occupancy rate, today’s revenue, ADR and RevPAR on one screen. Arrivals and departures: Track today’s expected check-ins and check-outs with status. Rooms and balances: Housekeeping tasks and unpaid balances always visible.
- **Reservations** — A single record for nightly and hourly stays. Room type, dates, guest count and source in one form. Flexible stay types: Create nightly and hourly bookings. Price breakdown: See the rate, surcharges and discount total while booking. Guest and room selection: Create a new guest or link an existing one, then pick a free room.
- **Room inventory** — Visual management by floor and room type. Each card shows availability, housekeeping status and the current guest. Availability: Separate vacant, occupied and reserved rooms. Readiness: See clean, dirty, inspected and cleaning statuses. Set up inventory: Room types, rates and bulk room creation.
- **Guest records** — Search, registration and past stays. Recognise returning guests and keep risky cases under control. Quick search: Find guests by name, contact or ID document. Stay history: Review a guest’s previous visits. Control: Manage blacklist status.
- **Pricing** — Set rules for weekends, holidays, seasons and hourly packages — the system calculates the rate for every date. Rule layers: Set weekend and holiday surcharges as percentages. Special periods: Create seasonal rules and hourly packages. Calendar preview: See the calculated rate for a room type and date.
- **Cashier** — Cash flow, breakdown by payment method and outstanding balances. A cashier summary for any period on one screen. Income and expenses: Total income, refunds, expenses and net cash flow. Payment methods: Track cash, card and bank transfer records. Balances: Keep partial payments and debts under control.
- **Invoices** — Accounting for stay charges and extra services. Add minibar, laundry and other services to the booking folio. Extra services: Add services from the catalogue to the booking folio. Invoice details: Lines, tax and total amount clearly shown. Print: Print the invoice straight from the system.
- **Housekeeping** — Cleaning, inspection and maintenance tasks. Know who is working in which room and at what stage each task is. Room statuses: Track clean and dirty rooms. Task assignment: Assign staff and priority. Progress: See pending and in-progress tasks.
- **Reports** — Revenue and occupancy reports, broken down by room type, category and period. Revenue overview: Receipts, unpaid balance and net cash flow. By room type: Room nights sold, revenue and ADR. Export: Export report data to Excel.
- **Users and roles** — Separate roles for front desk, management and housekeeping. Each user sees only the sections they’re allowed to. Permission levels: Assign rights per module and action. Job roles: Create roles that match your team. Restricted view: Users only access permitted sections.

## Guest workflow
1. Booking: Nightly or hourly booking, priced automatically.
2. Check-in: Guest registration and room assignment.
3. Stay: Minibar, laundry and other services added to the folio.
4. Payment: Cash, card or transfer; partial payments and balances tracked.
5. Check-out: Folio closed, invoice printed, room sent to housekeeping.
6. Turnover: Cleaning task completed, room back on sale.
7. Reporting: Revenue, occupancy and ADR update automatically.

- **Starter** (Up to 35 rooms; Up to 5 users; 99 AZN/month) — For small hotels managing daily work in one panel Standard price: 129 AZN/month; Introductory price: 99 AZN/month. Includes: All core modules; Hosting and updates; Email support during business hours.
- **Professional** (Up to 70 rooms; Up to 12 users; 179 AZN/month) — For mid-sized hotels and growing teams Standard price: 229 AZN/month; Introductory price: 179 AZN/month. Includes: All core modules; Hosting and updates; Priority phone and WhatsApp support during business hours.
- **Business** (Up to 120 rooms; Up to 25 users; 299 AZN/month) — For larger hotels and teams Standard price: 399 AZN/month; Introductory price: 299 AZN/month. Includes: All core modules; Hosting and updates; Priority phone and WhatsApp support during business hours.
- **Custom** (Over 120 rooms or multiple hotels; By agreement; price on request) — We agree room, user and service allowances for hotel groups and special requirements. Includes: Room, user and service limits are defined in your custom quote.
Prices are in AZN and exclude VAT. Each standard plan covers one hotel property. The annual discount applies to the subscription, not one-time services.
The room limit covers your managed room inventory, not occupied rooms. Users are active staff members with individual accounts, not concurrent sessions.

Cleaning and migrating legacy data, on-site training, custom integrations, bespoke features and a dedicated server are quoted separately according to the scope of work.

An optional, one-time service when you want us to configure rooms, rates and user roles. Account activation is free if you set up the hotel yourself.
- Up to 35 rooms: 149 AZN · one-time. Rooms, rates, staff accounts and one online training session.
- 36–70 rooms: 249 AZN · one-time. Extended configuration and two online training sessions.
- 71–120 rooms: 399 AZN · one-time. Configuration and team training with scope agreed in advance.

### What is BirOtel PMS?
BirOtel PMS (Property Management System) is a web-based management system for hotels, hostels and guest houses. It combines reservations, room inventory, guest records, pricing, cashier, invoices, housekeeping, reports and user roles in one panel.

### What do I need to use it?
Just an internet connection and a browser. BirOtel is a web application — use it on a computer, tablet or phone, with no software to install.

### Does it support hourly bookings?
Yes. When creating a reservation you choose a nightly or hourly stay. Hourly packages have their own rules in the pricing module.

### How are weekend and holiday rates calculated?
In the pricing module you define percentage or fixed rules for weekends, holidays and seasons. The system calculates the final rate for each date automatically and shows it in the rate calendar.

### Which languages does the interface support?
The system interface is available in Azerbaijani and English, switchable from the panel in one click.

### Will every employee see everything?
No. The users and roles module lets you create separate roles for front desk, management and housekeeping. Permissions are granted per module and per action.

### Can I export reports to Excel?
Yes. Reservation lists, rooms, cashier data and reports can be exported to Excel.

### Does it integrate with online channels such as Booking.com?
The current version focuses on internal hotel operations: reservations, rooms, guests, rates, cashier, invoices, housekeeping and reports. We’re happy to discuss your integration needs during the demo.

### How is pricing determined?
Mini is 59, Starter 99, Professional 179 and Business 299 AZN/month. Each standard plan covers one hotel. More than 120 rooms or multiple hotels require a custom quote. All listed prices exclude VAT.

### Do hosting and technical support cost extra?
Standard hosting, SSL, updates, usage assistance during business hours and software bug fixes are included. Professional and Business include priority phone and WhatsApp support. Support hours are agreed during onboarding; 24/7 human support is not included.

### Is paid setup and training mandatory?
No. Account activation and a 30-minute introduction are free. If we configure your hotel, the one-time fee is 149 AZN for up to 35 rooms, 249 AZN for 36–70 rooms and 399 AZN for 71–120 rooms. Data migration and on-site training are quoted separately.

### How are room and user limits counted?
The room limit is your managed room inventory, not occupied rooms. A user is an active employee with an individual account, not a concurrent session. Extra users cost 5 AZN/month each. There is no additional charge based on the number of reservations or guest records.

### Is there a free trial or annual discount?
Yes. Send a request for a 14-day free trial. Prepaying the annual subscription gives you a 10% discount. One-time setup and custom project work are not discounted.
