Hotel booking confirmation email: details and worked template
Write a clear hotel reservation confirmation with dates, room details, total price and payment status. A worked message and practical pre-send checks.

The short answer
A reservation confirmation should state the booking reference, arrival and departure, room and guest counts, inclusions, total price and payment status. Add the modification and cancellation terms. Reconcile the message with the current reservation before sending; a confirmed booking is not necessarily fully paid.
After accepting a hotel booking by telephone or message, give the guest a clear written confirmation. A short reply such as “your room is ready” leaves questions about dates, price and payment unresolved. A useful message helps the guest prepare and the next receptionist find the agreed details.
This guide concerns writing and checking the confirmation. Email, an agreed messaging channel and a printed copy can retain the same core information. Choosing a channel does not establish that automatic messaging is available.
Separate an offer, confirmation and payment
A price quotation does not always mean a room is being held. A time-limited hold, a confirmed reservation and a paid account are separate states. The opening sentence should make the current state clear.

A guest saying they sent a deposit is different from the hotel verifying receipt. Do not label an unchecked amount as received. State pending payment and the next step separately; the partial-payment record and confirmation should agree.
Which fields belong in the message?

Writing “5 June 2027” instead of “05/06” reduces ambiguity across languages. Identify times as local hotel time. If the marketing name alone is unclear, state the bed configuration separately.

The figures and conditions below are fictional training details, not a commercial offer from BirOtel or an actual hotel. Replace the hotel name, address and contact placeholders before sending.

Hello [guest name]. Your reservation at [hotel name] is confirmed.
Arrival: 10 October 2026 from 14:00; departure: 12 October 2026 by 12:00. All times are local hotel time. Stay: 2 nights.
Accommodation: 1 Standard Twin room, 2 separate single beds, 2 adults.
Total for two nights: AZN 240, including breakfast; this example has no separate tax or service charge.
Verified deposit: AZN 60. Balance: AZN 180, payable on arrival.
Cancellation terms for this example: free cancellation and deposit return until 18:00 on 8 October 2026; afterwards, or for a no-show, an AZN 60 cancellation charge is deducted from the deposit.
Address: [full address]. For changes, contact [hotel contact] and quote T-104.
Do not leave empty placeholders in the actual message. The hotel must also supply its approved practical conditions, such as the deposit-return method and timing. Dates, amounts and cancellation deadlines must agree with each other.
Do not turn a request into a guarantee
If early arrival, a particular view or adjacent rooms have only been requested, separate them from confirmed services. “Request received; confirmation pending” is different from a promise. When a reply arrives, update the specific request it concerns.
After a booking change, identify the revised date or condition in the new message. Keep the booking reference and state that the new confirmation replaces the earlier one. Assign an owner so two employees do not send conflicting confirmations for the same change.
Pre-send checklist
- Match the recipient address and booking reference.
- Check dates, nights, room count and guest count.
- Take the price, deposit and balance from the current record.
- Match the cancellation and no-show terms to that booking’s agreement.
- Mark unconfirmed requests separately.
- Leave identity documents, card numbers and internal notes out of the message.
- Keep the sent version and follow up on delivery problems.

Frequently asked questions
Is a confirmation a payment receipt? Not automatically. Keep reservation status separate from evidence of payment.
Should we create another booking if the email did not arrive? No. Check the address, delivery and existing reservation first.
Do we need three language versions? Use a language the guest understands. Dates, amounts and conditions must remain identical across translations.
