What belongs in a hotel reservation record?

A reservation may arrive by telephone, social media, a direct enquiry or another sales source. Whatever the channel, reception needs one recording procedure. A message left on an employee’s personal phone becomes invisible work for the next shift.

Record arrival and departure dates, guest count, room type, agreed price and contact details. Keep the source in a separate field so it remains possible to understand where enquiries originate. A reservation identifier helps distinguish records when guests have similar names.

Collect only information needed for the operation. Avoid spreading personal guest details through general shift groups or open spreadsheets. Staff should know who needs access and where the authoritative record belongs.

Check the entire stay before confirming

Check availability across all requested nights before promising a room. A room that is free on arrival day may already be assigned for a later night. Repeat the check when dates or the requested room type change.

Clarify included services, the deposit requirement and cancellation terms. Establish how the hotel confirms a verbal agreement to the guest. The dates and amounts in the confirmation should match the operational record.

Separate booking, room and payment states

Maintain the account during the stay

At check-in, confirm dates, room assignment and the agreed rate. Add extra beds, transfers or other services to the account when they occur. Use understandable service descriptions so that check-out does not become a reconstruction exercise.

Here is a fictional example: two nights at AZN 100 plus AZN 30 in extra services produce an account total of AZN 230. A deposit of AZN 50 leaves AZN 180 outstanding. These are calculation examples, not hotel rates or BirOtel subscription prices.

Record cash, card and bank-transfer payments under the correct method. Recording a card payment is not the same as charging a card online. Do not treat payment records and a separate payment-provider integration as the same standard BirOtel feature.

Give the next shift an actionable handover

The next receptionist should be able to continue without repeating the investigation. Use a stable checklist and connect exceptions to a specific reservation rather than writing a long, unstructured message.

  • Guests due today who have not yet arrived.
  • Late departures and agreed changes.
  • Rooms that are not ready and the work still required.
  • Open balances, deposits and payments requiring verification.
  • Guest agreements that the next member of staff needs to honour.

Do not enter a questionable payment again merely to make a balance look correct. Inspect the existing entry, evidence of payment and cash position first. Agreeing on the correction procedure is usually less disruptive than creating a second unexplained transaction.

Close the stay and reconcile the shift

Before departure, compare accommodation charges, services and payments. Record how any remaining balance was settled. Then update the room state and begin the cleaning process. Financial reconciliation and physical room preparation are separate control steps.
