Hotel room move checklist: relocating an in-house guest
Move an in-house guest with clear availability, rate and account checks. A practical room-transfer example for reception and housekeeping teams.

The short answer
Before relocating a guest, confirm that the destination room is available and ready for every remaining night, and agree any rate change. Afterwards reconcile the account, room record, keys and housekeeping information. Do not treat the old room as ready for resale without checking it.
Moving a guest can sound simple: issue another key and update the room number. In practice, inventory, service arrangements, the account and team information all change together. If one part is missed, the guest may be in the new room while breakfast or a cleaning task still points to the old one.
This guide covers a planned room change for a guest already in house. Assigning a room before arrival and checking out are separate processes. If there is immediate danger, follow the hotel’s safety procedure first; administrative recording must not delay physical safety.
Record the reason and scope
A request for a quieter room, an unsuitable bed configuration and a maintenance fault may require different responses. Record the objective reason, time, old and new rooms, and the employee authorising the change. Avoid judgemental descriptions of the guest.
Oracle’s room move documentation describes assigning a different room to an in-house reservation. It is a source for the concept; Oracle buttons, automatic checks and integrations are not presented as BirOtel features.
Check every remaining night
A room that is vacant today may have another booking tomorrow. Check the remainder of the stay without changing its arrival and departure dates. The destination must also suit the bed configuration, capacity and needs already agreed with the guest.
In a training scenario, a guest occupies room 204 from 2 to 5 October and requests a move on 3 October. Room 307 must be suitable from 3 to 5 October. If someone else has booked it for the night of 4 October, being empty today does not solve the problem.
Review the room type and capacity description: a larger room does not automatically provide the required beds. Confirm readiness physically as well. Vacant in the system is not the same as cleaned and inspected.
Agree the rate and reconcile the account
A move within the same category, a complimentary upgrade and a paid upgrade are different agreements. Before presenting the destination room, establish which nights change price and the amount accepted by the guest.
In a hypothetical example, three nights originally cost AZN 100 each. The first night stays unchanged and the remaining two are agreed at AZN 120: 100 + 120 + 120 = AZN 340. The difference from the original AZN 300 is AZN 40. This is a training calculation assuming no tax or other service difference.
Do not record an existing payment a second time. Compare deposits, extra services and the remaining balance before and after the move. The guest folio guide explains how to keep these records distinct.

Issue keys and revoke previous access according to the hotel’s key-system procedure. Do not assume the PMS does this automatically. Agree luggage assistance with the guest and separately check for belongings or service orders still associated with the former room.
Have the responsible employee inspect the old room before assigning its next status. A room vacated because of a fault should not return to sale merely because it has been cleaned. Room maintenance management requires a separate decision and confirmation.

Is a room move a new stay? A physical room change alone does not create a new guest visit. Check how the system combines its records for reporting.
Can the old room be sold immediately? Not without checking. The guest leaving, room readiness and fault resolution are separate confirmations.
Should the price change automatically? That depends on the agreement. Check that selecting another room category has not triggered an unintended recalculation.
