Check agency contract dates, the room and extra guest discount base, saved booking terms and arrival-date reports with a practical calculation.

The short answer
An agency contract discount reduces eligible accommodation charges; it does not calculate commission owed to the agency. In BirOtel, the discount applies to room and extra guest charges when the arrival date meets the contract conditions. Check the agency, dates, stay type and calculation before confirming the booking.
Hotel travel agency negotiated rates need a repeatable booking process. A receptionist should be able to establish which partner sent the guest, which agreement applies and how the quoted accommodation amount was calculated. A percentage copied from an old message is not enough to confirm those details.
This guide follows BirOtel’s contract discount workflow. The figures and dates below are illustrative training examples, not recommended commercial terms or actual market prices.
Short answer: a discount and a commission serve different purposes
A contract discount reduces the eligible accommodation price. Commission is a separate amount payable to an intermediary under the parties’ arrangement. Even when both are expressed as percentages, they should not be treated as interchangeable fields.
Oracle’s negotiated-rate documentation describes agreed rates associated with customer profiles, including agents and companies.
For daily reception work, write down what the percentage actually does. Does it reduce the guest’s accommodation charge, or describe a separate partner payment? BirOtel’s agency module manages the first workflow. It does not provide agency commission or settlement accounting, and agencies do not have a separate booking portal.
Check the agreement before quoting
Keep the agency identity and contract details together. BirOtel’s agency catalogue stores contact details, contract number, validity dates, discount percentage and notes. It also allows a choice about applying the discount to hourly stays. Reception staff should select the correct agency rather than infer it from the guest’s name.

Use the arrival date for BirOtel’s contract validity check. Suppose an agreement runs from 1 to 31 October. A reservation created on 25 September for arrival on 12 October is within that period. A reservation created on 20 October for arrival on 5 November is outside it. The date staff entered the booking does not substitute for arrival.
Room prices also need their own check. A percentage has little meaning without the underlying tariff. Review the applicable room and date conditions using a consistent hotel pricing workflow before confirming the agency reduction.
A room and extra guest calculation
Consider one illustrative stay with a room charge of 120 AZN and an extra guest charge of 30 AZN. The agreed discount is 10% and the arrival date is eligible.

This example explicitly excludes taxes and additional services. The 135 AZN amount is the discounted accommodation subtotal, not a complete invoice or a commission payable to the agency. Do not automatically apply the same percentage to minibar, laundry or another service simply because it appears on the same guest folio.
Preserve the terms of the existing booking
BirOtel saves the discount percentage on the booking. A subsequent contract change does not change the price of existing bookings. This matters when the team renews an agreement: an older reservation and a newly created one can legitimately carry different percentages.
For example, a saved 10% discount should not be described as an error solely because the agency catalogue now displays 12%. First compare the booking’s saved terms with the agreement used when it was accepted. If someone requests a change to the reservation itself, inspect the resulting price summary before confirming the amendment; do not infer amendment behaviour from the contract update alone.
Review agency results consistently
BirOtel’s agency report counts bookings by arrival date and excludes cancelled and no-show bookings. It shows bookings, guests, room nights, accommodation before tax, discounts and totals including tax. Therefore, a count of every enquiry received during October will not match an October arrivals report.
Before comparing partners, select the same reporting period and explain the date basis. Check cancellation and no-show statuses when a reservation appears missing. Read booking count together with room nights and discounts: a partner sending several short stays cannot be compared fairly with a group sending fewer, longer bookings using document count alone.
Frequently asked questions
Does selecting an agency guarantee a discount? No. Arrival-date eligibility and the hourly-stay setting affect application. BirOtel shows the reason in the price summary when a discount is not applied.
Does changing the contract reprice old reservations? No. The stored booking percentage preserves existing terms against a later contract change.
Can the agency enter its own booking? There is no separate agency login or booking portal in the current module. Hotel staff enter the reservation.
Can this report show commission owed? No. Contract discounts and agency commission accounting are different workflows.
