What is a walk-in guest? A hotel reception checklist
Handle unreserved arrivals with clear availability, rate, payment and check-in checks. A practical walk-in workflow for small hotels.

The short answer
A walk-in guest arrives without a prior reservation. Check for any existing booking, then verify that a suitable room is ready and available throughout the requested stay. Agree the rate and departure time, create the reservation and payment records, and complete the actual check-in.
A guest at reception asks whether a room is available tonight. Counting apparently vacant rooms is not enough to answer. Readiness, future reservations, requested stay length and the accepted rate all need to be checked together.
A walk-in is an opportunity for a last-minute sale, not a reason to skip recording the stay. This operational guide is intended for reception teams in Azerbaijan’s hotels and guesthouses. It does not define legal registration or document requirements.
Confirm that no reservation already exists
Even when a guest says they have no booking, an employer or family member may have arranged one. Check existing records using the name, dates and any possible booking reference. Creating another booking for the same guest can confuse both inventory and the account.
Oracle’s walk-in documentation presents reservation creation followed by check-in as a workflow. This supports the process concept; it does not establish that BirOtel has the same dedicated walk-in button.
Ask for the complete stay period
Turn “tonight” into dates and a departure time. Do not promise a room for two nights if it is free for only one. The room type, beds and capacity must also suit the party.
In a training example, seventeen of a twenty-room hotel’s rooms are allocated to in-house guests or confirmed bookings. Of the remaining three, one is under repair, one awaits cleaning and one is inspected and ready. Only the ready room is a candidate for immediate check-in, not all three. It must still be free on every requested night.
Ask the responsible employee when the room awaiting cleaning can be ready. Do not give the guest an unconfirmed completion time. If they agree to wait, record the arrangement so the next employee can understand it.
Explain more than the quoted number
State whether the rate is nightly or hourly, the duration, included services and total. Being a walk-in does not automatically entitle the guest to a discount. Apply the hotel’s defined discount rules and staff authority limits.
A hypothetical stay has two nights at AZN 110 and an agreed one-off extra service costing AZN 20. Total = 110 × 2 + 20 = AZN 240. If AZN 100 is paid on arrival, the account balance is AZN 140. No other charges apply in this example; these are not actual rates.
Show the dates, departure time and balance terms in a written confirmation. For an arrival after midnight, the calendar and hotel reporting dates may differ. Check the supported procedure instead of blindly backdating the reservation.
Checks before issuing the key

Choose the correct payment method. A card transaction being approved and its entry in the PMS are separate steps; typing an amount does not collect money from a bank. Use the guest folio workflow to check that earlier and new payments are not duplicated.
If no suitable room is available, do not silently alter another guest’s confirmed reservation. Verify any alternative dates or room you offer. A last-minute enquiry does not justify creating an overbooking.

Is a same-day online booking a walk-in? Under this method, a reservation made before arrival is a prior booking. Preserve the actual booking channel.
Are walk-ins always one-night stays? No. Ask the duration and check every night.
Can a vacant room be assigned immediately? Once suitability and readiness have been confirmed. Availability and readiness are separate controls.
