Choosing hotel management software in Azerbaijan? Compare hotel PMS workflows, room management, reservations and support before selecting a small hotel system.

The short answer
A PMS brings hotel reservations, rooms, guests and account information into one system. Choose software by testing your own reservation, check-in, service, payment and check-out workflow. Confirm room and user limits, support hours and data export terms. A long feature list alone does not show whether your team can use the system comfortably.
Hotel management software, hotel PMS and hotel property management system are related terms for tools that organise a property’s daily operations. For a small hotel in Azerbaijan, the useful question is which system fits your room inventory, staff roles and guest-account workflow.
What is a hotel property management system?
PMS stands for Property Management System. It supports hotel operations such as reservations, arrivals, departures, room assignments and billing. For a definition of the category, see Oracle’s explanation of hotel PMS.
The operational question is straightforward: can the next receptionist see when a guest leaves, which room is available and what balance remains without calling a colleague? If these answers are scattered across spreadsheets, notebooks and messages, start your software evaluation with that fragmented workflow.
PMS, booking engine and channel manager are different tools
Some products combine these capabilities, but the name PMS does not mean that every tool is included. Ask the supplier to demonstrate the specific service you need.

What matters for a hotel in Azerbaijan?
Write down your room inventory and the people who will need access. Include reception, cash handling, accounting and management, rather than counting receptionists alone. Check how the supplier defines a user and whether the plan covers your expected staffing pattern.
Working in AZN, clear permissions and a language your staff understand are practical selection criteria. The BirOtel application interface is available in Azerbaijani and English. A Russian version of the marketing website does not mean that the application has a Russian interface.
For a browser-based service, agree on a temporary procedure for an internet outage. Do not assume offline operation. Ask about recovery, data exports and how information is handed over when the subscription ends. These discussions are easier before the hotel becomes dependent on the service.
Test one shift at a 20-room hotel
Use fictional guest details and let a receptionist complete the steps. Watching a polished presentation is different from operating the software yourself.
- Create a two-night booking and record its source.
- Change the stay dates and inspect availability again.
- Assign the room and check the guest in.
- Add a service to the guest account.
- Record a partial payment and find the remaining balance.
- Check the guest out and update the room’s cleaning status.
- Reconcile reservation information and cash records at shift end.
Note where staff have to search, re-enter information or ask for help. Repeat the same scenario in each shortlisted product. Also test correcting a wrong date or room: usability matters when something goes wrong, not only when every step is perfect.
Compare the written terms as well as the interface
The offer should identify room limits, included users, extra-account charges, hosting, updates and support hours. Initial configuration, training and data migration may be separate services. Establish the scope before signing so that both sides have the same expectations.
