Hotel pickup report: measuring changes in future bookings
Compare booking snapshots for the same future stay dates. A room-night pickup example covering new bookings, cancellations and date changes.

The short answer
Pickup measures booking changes between two reporting moments for the same future stay period. Subtract the earlier on-the-books room nights from the later total to calculate net room-night pickup. Explain new bookings, cancellations and date changes separately, keeping the period and status filters consistent.
Knowing tomorrow’s occupancy is useful, but a manager often asks a different question: how many additional nights were booked for next week over the last day? A hotel pickup report tracks that change. A single current reservation list does not automatically reconstruct the earlier position.
Hotels in Azerbaijan can apply the same method to business and leisure bookings. All figures below are training examples, not statistics about the national market, a particular event or an actual hotel’s results.
What does pickup measure?
Noovy’s pickup explanation focuses on the net change in future reservations. In this guide the unit is a room night, not a booking document. One room booked for three nights contributes three room nights.
Pickup is different from stay duration and how far in advance a booking was made. ALOS measures stay length, while lead time measures the interval between booking and arrival. These answer different questions and need clear labels when shown together.
Separate the two kinds of dates
One date is the moment you take the report. The other date or period contains the nights guests will stay. For example, compare snapshots taken at 09:00 on 2 and 3 October for the nights of 10–16 October.
Both snapshots must include the same statuses, room types and booking sources. Here we count only confirmed, non-cancelled room nights. Show temporary holds in a separate column if you need them. Including holds in the earlier extract but excluding them later can look like a real sales decline.
A net-change example
The earlier snapshot contains 42 room nights for the selected period and the later snapshot contains 49. Net pickup = 49 − 42 = +7 room nights. This does not mean seven new booking documents.
| Change | Room-night impact |
|---|---|
| Nights added by new bookings | +12 |
| Cancelled nights | −3 |
| Nights moved outside the selected period | −2 |
| Net result | +7 |
A positive result can include cancellations. Counting only newly created bookings would report twelve in this example and overstate the net position. An existing booking moved into the selected period can also increase pickup without creating a new document.
Allocate nights to the correct period
A booking from 9 to 12 October covers the nights of 9, 10 and 11 October. Only two belong to the 10–16 October window. Departure day adds no night. Include room count for group reservations: two rooms would contribute four room nights within this window.
Zero net pickup does not mean nothing happened. Five nights may have been added and five cancelled. Retain both the final difference and its components. Negative pickup likewise does not necessarily mean there were no new sales.
Daily review checklist
- Save comparison snapshots at the same local time.
- Record the stay-night window and measurement unit.
- Apply unchanged room and status filters.
- Separate new, cancelled and modified records.
- Allocate multi-room and cross-boundary bookings correctly.
- Reconcile large or negative differences to specific reservations.
- Record the reason for each pricing decision separately.
Before changing all rates after a single day’s increase, examine remaining inventory, time until arrival and your pricing rules. Comparisons with another period are more meaningful at an equivalent lead time; different distances from the stay dates can distort the picture.
How can you start with BirOtel?
BirOtel offers reports and Excel export. A built-in pickup dashboard, historical snapshot archive, automatic forecast and every required export field are not confirmed here. Check access to reservation references, dates, room counts and statuses in a demonstration.
If the previous position was not saved, do not invent historical pickup from today’s list. Start collecting consistent extracts now and store them in a location controlled by the team. Guest personal details are unnecessary for this aggregate calculation.
Frequently asked questions
Is pickup an occupancy percentage? No. It is a change in volume; occupancy uses the available inventory separately.
Is zero pickup a good result? It is insufficient to judge. Examine new sales and cancellation components.
Does the report forecast revenue? Not by itself. It shows recorded change; future outcomes require separate assumptions.
These guides are published by BirOtel. General methods, illustrative examples and current product capabilities are identified separately. Sources appear beside the relevant explanations.
