A direct booking comes through the hotel's own channel rather than an intermediary platform. Start with clear room information, an easy mobile enquiry route, consistent replies and written confirmation. Measure the channel using cost, cancellations and completed room nights as well as reservation counts.
Increasing direct hotel bookings takes more than adding a button to a website. Guests need enough information to choose a room, an easy way to provide their dates and a clear understanding of whether their request has been confirmed. Inside the property, someone must check and record that request.
This guide offers an operating plan for independent hotels in Azerbaijan. It does not recommend removing every external sales channel. The objective is to handle the hotel’s own enquiries consistently and understand the results of each source.
Direct bookings and booking engines are different concepts
A guest can book directly by telephone, email, the hotel website or at reception. A booking engine is a separate technology that supports reservations through a website. SiteMinder’s booking engine explanation describes that role.
Submitting a contact form or starting a WhatsApp conversation is not automatically a confirmed reservation. If the website invites guests to “Send a booking enquiry”, explain how they will receive a response. Do not display a room confirmation when availability has not actually been checked.
Make the essential website information clear
Alongside photographs, show room capacity, bed arrangements, main facilities and location. When displaying a price, explain which dates, room and inclusions it covers. A price that changes by date should not be presented as a fixed rate for the whole season.
Make contact and enquiry buttons easy to find on a phone. If the website uses Azerbaijani, Russian and English, keep dates, cancellation terms and included services consistent across translations. Use the same hotel address and contact number across the website and social profiles.
Ask a colleague who has not used the site to enquire about a family room for specific dates. Note every point of confusion. Prioritise those obstacles instead of adding more promotional claims to the page.
Build a reliable enquiry-to-confirmation process
- Collect arrival and departure dates, guest count and room requirements.
- Check availability for the complete stay.
- Send a written offer with inclusions and agreed conditions.
- Record confirmation and deposit status under the property’s policy.
- Create the internal reservation record and tell the guest the outcome.
Assign reply responsibility by shift. Two receptionists should not send different prices for the same request. When a guest phones and then contacts the hotel through social media, check whether the new message belongs to an existing enquiry.

For illustration, twelve confirmed bookings from forty eligible enquiries represent a 30% enquiry conversion rate. This is an example, not an industry benchmark. Track subsequent cancellations separately: confirmations are not the same as completed stays.
Direct does not automatically mean free. Website costs, advertising, payment services and staff time may affect the comparison. Assess the results alongside occupancy, ADR and RevPAR rather than treating direct share as the only objective.
Keep measurement definitions stable. Switching between bookings and room nights can make a channel appear to improve simply because the average length of stay changed.
